Hotel Cancellations, Refunds & Rescheduling in Bali 2026: Rules, Force Majeure & How to Stay Safe

Bali plans can change because of work, illness, cancelled flights or even a volcanic eruption in a neighbouring province. The catch is that hotel cancellation policies are not uniform: some rates can be cancelled for free, others are lost entirely. This guide explains how to read cancellation, refund and rescheduling rules, the force majeure situations relevant to Bali, and the steps and sample messages that keep your money safer.

Refundable, Non-Refundable, Deposits & No-Shows

  • Refundable (flexible) rates: usually slightly pricier, but they can be cancelled free of charge up to a set deadline. Deadlines differ by hotel, from 24–72 hours to 30 days before check-in at some boutique resorts.
  • Non-refundable rates: cheaper, but money is generally not returned if you cancel or change dates. Choose them only when your schedule is fixed.
  • Cancelling after the deadline: hotels commonly charge the first night, part of the stay or the full booking value, depending on the terms.
  • No-show: failing to arrive without notice is almost always charged in full, and the remaining nights may be cancelled automatically.
  • Deposits: there is the booking deposit (part of the room price) and the security deposit at check-in, which is returned after check-out. Ask which applies and how it is refunded.

Rescheduling vs Refunds: OTAs, Direct Bookings & Hotel Vouchers

A refund means your money comes back; rescheduling means your stay moves to other dates. In practice hotels agree to rescheduling more easily because they do not lose the revenue, although you may pay a difference if the new dates cost more.

  • OTAs (booking apps): changes are requested through the app or the OTA’s customer service and follow the terms of the rate you chose. Refunds usually go back to the original payment method and take time to process.
  • Booking directly with the hotel: you deal directly with the reservations team. For documented reasons, hotels sometimes offer leniency such as a stay credit.
  • Hotel vouchers: a voucher has a validity period and a redemption window. While you are still within that window, you can hold off choosing your stay dates until your plans are firmer—flexibility that a fixed-date booking does not have. Change and refund rules differ by product, so always check the terms & conditions on the voucher page before buying.

Force Majeure in Bali: What to Prepare For

Force majeure covers events beyond the control of both guest and hotel. However, the term does not automatically mean a refund; the outcome depends on the booking terms and the hotel’s policy at the time.

  • Volcanic ash from outside Bali: the eruption of Mount Lewotobi Laki-laki in East Flores, NTT, in November 2024 caused around 90 flights at I Gusti Ngurah Rai Airport to be cancelled in a single day. Similar disruptions recurred in June and July 2025.
  • Mount Agung and Mount Batur alerts: monitor activity levels and danger zones from PVMBG via MAGMA Indonesia, especially if you are staying in Karangasem or Kintamani.
  • Nyepi: Ngurah Rai Airport closes for 24 hours and guests are asked to stay within their hotel grounds. Nyepi 2027 is expected to fall on Tuesday, 9 March 2027; wait for official confirmation in the joint ministerial decree (SKB 3 Menteri) before locking in tickets around that date.
  • Bad weather and boats to Nusa Penida: crossings can be postponed when waves are high. Build in buffer time and choose flexible rates for nights on Nusa Penida.

Travel Insurance & Consumer Protection

  • Travel insurance: look for trip cancellation and delay benefits. Check the exclusions, including events already known before the policy was bought, so buy cover as soon as you start planning.
  • Consumer rights: Indonesia’s Law No. 8 of 1999 on Consumer Protection guarantees the right to accurate, clear and honest information. If a dispute with a business in Indonesia cannot be settled directly, consumers can turn to the Consumer Dispute Settlement Body (BPSK) through conciliation, mediation or arbitration.

Checklist & Message Templates for Hotels

  • Re-read your confirmation: rate type, free-cancellation deadline and the time zone used.
  • Contact whoever you paid (OTA, hotel or voucher issuer) before the deadline passes.
  • Make your request in writing and attach evidence.
  • Ask for written confirmation stating the booking number, new dates or refund amount, and the expected processing time.

Sample email or chat message:

  • Opening: “Hello, my name is [name], booking number [code], check-in [date].”
  • Request: “My flight was cancelled by the airline because of volcanic ash. I would like to move my stay to [new date].”
  • Fallback option: “If those dates are not available, would a refund or stay credit be possible?”
  • Closing: “Proof of the cancellation is attached. Please confirm in writing. Thank you.”

FAQ: Hotel Cancellations in Bali

  • Can a non-refundable rate never be changed? By the rules, no. But hotels sometimes make exceptions for documented force majeure, so it is still worth asking politely.
  • My flight was cancelled because of volcanic ash. Must the hotel refund me? Not automatically. The airline handles the ticket, while the room follows the hotel’s terms. A combination of rescheduling and insurance is usually the most realistic route.
  • What if I arrive a day late? Tell the hotel before your check-in date. Without notice, the first night is usually charged as a no-show and the rest of the booking may be cancelled.
  • What about AccessiaPass vouchers? Check the validity period, redemption window and change terms on the voucher page. If in doubt, ask the support team before buying.

Want holiday plans with more flexibility? Compare hotel vouchers on AccessiaPass, read the terms & conditions of each voucher, then redeem once your travel dates are confirmed.
